Privacy policy

Quiz Night (answersin.club) is operated by Brindleford Technologies Ltd,
company number 16871436, registered in England and Wales at 71-75 Shelton
Street, Covent Garden, London, WC2H 9JQ. We are the data controller for the
personal data described here, and we handle it under UK GDPR. Contact:

What we collect, and why
- Account holders: your email address, your password
(stored only as a hash, never readable by us), and your club's name. We
need these to provide the service you signed up for (legal basis:
contract).
- Quiz content: the questions, answers and images you
create or upload. Stored to run your quiz nights.
- Teams on the night: a team name and the answers the team
submits. Teams don't make accounts and we don't ask who they are. We
process this to run the night the venue asked for (legal basis:
legitimate interest), and it's deleted automatically 60 days after the
night: team names, answers and standings included.
- Technical data: IP addresses appear in server logs and
are used briefly, in memory, to rate-limit signups and password resets
(legal basis: legitimate interest in keeping the service secure).
- Site analytics: which pages are opened, when, and on
what sort of device. See Analytics below for
exactly what that means and how to switch it off.
We don't collect payment details (online payment isn't live yet), and we
don't buy, sell or share data for advertising.
Cookies
One cookie, qn_session, keeps account holders signed in. It's
strictly necessary for the service and holds no tracking. There are no
advertising cookies and no third-party cookies.
Cookies aren't the whole story, though, so see the next section: our
analytics stores one item on your device without using a cookie to do it.
Analytics
We count visits, using Rybbit
running on our own server in Germany. No third party receives this data and
none of it is used for advertising. Each page view records the page address,
the page you came from, your browser, operating system, screen size and
language, and your approximate location — country and region, no closer.
It sets no cookies. It does store one item on your device:
a randomly generated identifier, kept in your browser's local storage under
the name rybbit-visitor-id, which lets us tell a returning visit
from a new one. It is a random number. It is not linked to your account, your
email address, your team or your answers, and it doesn't follow you to any
other website. We rely on our legitimate interest in understanding whether the
site works.
We don't keep your IP address. Our analytics uses it once, at
the moment of the visit, to work out roughly what part of the world you're in.
It isn't stored alongside your visit and isn't tied to the identifier above.
The only other place an IP appears is briefly in our server logs, for the
security reasons described under Technical data.
Analytics runs on every page, including the big screen in the venue and the
phone pages teams use during a quiz. It records the page, not the play: we do
not analyse team names, answers or scores.
Who else touches the data
- Contabo GmbH hosts our servers, located in the EU
(France). All quiz and account data lives there. Our analytics runs on a
second server of ours, also with Contabo, in Germany.
- errlens (France) records crashes and errors, so we find out
when something breaks instead of waiting to be told. A report contains the
technical detail of the fault — where in our code it happened, and which
club or quiz was involved. It does not contain your name, your email
address, your password, your answers, or the web address you were on if
that address was itself a private link.
- Postmark (ActiveCampaign, USA) sends our transactional
email: verification links, password resets, account notices. It sees the
email address it's delivering to. Transfers are covered by ActiveCampaign's
EU-US Data Privacy Framework certification.
- Anthropic powers the optional AI features, and only when
a club chooses to use them. For the quiz generator, the theme and
difficulty you type are sent to Anthropic's API and nothing else. For
spreadsheet import, if your file isn't in our template's layout you can
ask us to read it for you, and the contents of that file are sent
to Anthropic's API so the questions can be extracted — so don't
upload a sheet with anything private on it, and if it has a column of your
own notes, delete it first. Files in our template's layout are read by our
own software and are never sent anywhere. Uploaded content is used to
answer that one request and is not used to train models.
We disclose data beyond this only if the law requires it.
How long we keep it
- Team names, answers and results: deleted 60 days after the quiz night.
- Uploaded spreadsheets: the file itself isn't kept. It's read, turned into
a draft quiz for you to check, and the copy of the file is discarded as
soon as it has been read.
- Analytics: page-view records are kept as long-term counts of how the site
is used. They contain no name, email or account link.
- Account and club data: kept while your account exists. Email us to close
your account and we delete it and your club's content.
- Unconfirmed signups never activate; the record sits unused until removed.
- Server backups are taken routinely and overwritten on rotation, so deleted
data also ages out of backups.
Your rights
Under UK GDPR you can ask us for a copy of your personal data, ask us to
correct or delete it, object to or restrict processing, and take your data
elsewhere. Email

complain to the Information Commissioner's Office at
ico.org.uk.
Changes
We update this policy when what we do with data changes. The revision date
below, and the date at the top, always tell you which version you're
reading — worth a glance if it matters to you.
